The Eldoret National Polytechnic has adopted digital management technologies aimed at enhancing security, streamlining operations, and improving academic tracking across the institution.
At the main entrance, security personnel now utilize hand-held electronic devices to register visitors and vehicles. The digital visitor management system automatically logs names, arrival times, vehicle registration numbers, and the purpose of visits—replacing time-consuming manual entry logbooks.
According to John Mutai, the institution’s security supervisor, the digital transition has significantly eased gate entry procedures, saving time for both visitors and learners. The platform automatically stores data, simplifying the monitoring and retrieval of records.
“Compared to manual entry logbooks, the system has reduced congestion at the gate, improved efficiency, and strengthened overall security,” said Mr. Mutai.
This digital transformation initiative extends directly into the classroom environment. Lecturers have transitioned from traditional paper registers to digital attendance tracking, saving valuable instructional time and improving record accuracy.
“We are now in a position to monitor students who miss sessions,” one trainer affirmed.
Learners have also embraced the new system, noting that its adoption is timely and addresses bureaucratic delays in their day-to-day academic activities.
“Right now, I can track my class attendance progress—unlike before, when only the trainer had access. This motivates learners to attend lectures consistently,” said a student.
Shadrach Yabei, Head of Department for Computing and Informatics, noted that the polytechnic aims to enhance service delivery through technological adoption while fostering transparency, accountability, and operational efficiency.
The Chief Principal, Dr. Charles Koech, highlighted additional technological applications across departments to ease the operations of the institution.
“We are now using e-portfolios to manage evidence, which not only cuts down on costs but also ensures we have a stable and secure system where records can be safely stored for reference and easy retrieval,” Dr. Koech said.
In addition to attendance tracking, the digital framework aids in managing academic records and practical skill assessments required during technical training. The institution continues to integrate digital solutions to equip students with practical skills aligned with current job market demands.
